The following sets out the process and responsibilities for Maternity leave for internationally-recruited staff members on a Fixed Term or Temporary Appointments.

This is a leave type that is not managed locally in the country offices and the following describes the role of the GSSU Benefits and Entitlements Services teams in Copenhagen, the country office and the individual staff member.




​Staff member

  • P​rovides information about pregnancy to country office.
  • Submits a request for Maternity leave in eServices indicating supervisor and HR focal point in Benefits and Entitlements as HR approver. The request must include a doctor's or midwife's certificate of expected date of birth.
  • If staff member wishes to start Maternity leave later than six weeks prior to due date, a signed note from her doctor must be included in the eServices submission confirming that staff member is fit to work up until the Maternity leave start date (no less than two weeks prior to due date).

​Country office

  • Supervisor verifies Maternity leave start and end dates and approves the request in eServices.
  • Once approved by supervisor the request is received by the HR focal point in GSSU Benefits and Entitlements Services.

     

     

     

​​​​GSSU BES

  • Provides information to staff member about Maternity leave entitlements and which forms to submit to HR focal point in Benefits and Entitlement services when child is born. The strict deadline for insurance form is stressed.
  • Verifies Maternity leave start and end dates (16 weeks/112 days incl. weekends and holidays) are entered correctly and supporting documentation is sufficient.
  • Verifies staff member's contract is not expiring during the Maternity Leave period and takes appropriate action in case it does.
  • Processes Maternity leave Personnel action form in ATLAS.
  • Sends the Maternity leave Personnel action form to the staff member with a copy to the country office HR focal point.
  • Approves the Maternity leave request received from staff member's supervisor in eServices.

​​​​​Staff member

  • Receives the Maternity leave Personnel action form and keeps a copy on record.
  • Sends a copy of the birth certificates and required forms within 31 days of delivery to ensure timely HR actions and insurance enrolment.
